




Job Summary: Provide comprehensive support to administrative, financial, and operational management, ensuring effective control of funds, payments, costs, and support for production and events. End-to-end procurement management and cost optimization Work Modality: On-site, full-time Working Days and Hours: Monday to Friday, 9:00–17:30 Work Location: Villa Martelli Position Objective: Provide comprehensive support to the company’s administrative, financial, and operational management, ensuring efficient control of funds, payments, costs, and support to production and events departments. Main Responsibilities Finance and Cash Management Prepare weekly and monthly cash flow projections (revenues, payments, and funding requirements). Compile and update the supplier payment schedule and cash flow statement. Administer and reconcile main and petty cash (cash and bank accounts). Enter bank transfer payments for subsequent authorization. Track due dates, recurring payments, and tax obligations. Generate weekly reports on cash movements, expenses, and variances. Enter and verify supplier invoices and merchandise into the system. Monitor fixed, variable, and investment costs, with comparative reporting. Production and Event Support Collaborate internally on event coordination and operational organization. Maintain and update key operational spreadsheets, including event staff rosters (in coordination with the Operations Manager). Prepare payroll envelopes and tips, and arrange accident insurance for each event. Maintain and update recipes, cost formulas, and the procurement calculation spreadsheet (in coordination with the Head Chef). Includes physical updating of recipe books every three months. Procurement and Supply Management Manage the end-to-end procurement process (quotation, negotiation, ordering, and follow-up). Coordinate procurement of gastronomic supplies, beverages, disposables, and operational materials. Compare prices and terms across suppliers to optimize costs. Maintain and expand the supplier portfolio. Supervise goods receipt alongside the kitchen/operations team. Ensure minimum stock levels and availability for events. Coordinate purchases according to event and production planning. Identify opportunities to improve procurement cost-efficiency and effectiveness. Required Profile and Skills Minimum 3 years of experience in administration (ideally in gastronomy, events, dynamic SMEs, or production). Advanced proficiency in Excel / Google Sheets and management systems. Organized, analytical, proactive, and highly organized profile. Ability to improve processes and work simultaneously across multiple departments. Excellent communication skills, commitment, and strong teamwork orientation.
