This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast‑paced legal environment while maintaining professionalism and confidentiality at all times **Responsabilities:** Provide administrative support to attorneys, including calendar management, meeting scheduling, and coordination of travel arrangements. Prepare, format, edit, and proofread legal documents, correspondence, and reports. Manage document production, electronic filing, and organization of legal documents. Maintain and update client files and matter management systems. Coordinate and track deadlines to ensure timely completion of tasks and filings. Handle client communications, including answering phones and responding to inquiries professionally. Assist with billing processes, including time entry, expense reporting, and invoice preparation. Prepare and process new matter intake, including initiating and coordinating conflict checks in accordance with firm policies. Draft, revise, and distribute engagement letters and track their completion. Process vendor invoices and employee expense reimbursements using Chrome River, ensuring accuracy and compliance with firm policies. Review and reconcile expense submissions, follow up on missing documentation, and coordinate approvals. Maintain strict confidentiality of all client and firm information. **Skills:** * English Level B2 \+ or C1 preferred. * **Minimum of 2 years of legal administrative or assistant experience.** * Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). * Hard Skills Associate’s or Bachelor’s degree preferred. * Experience with document management and billing systems (e.g., iManage, 3E, Laurel, Elite) is a plus. * Excellent written and verbal communication skills. * Strong organizational and time‑management abilities.
