We’re looking for a highly organized, proactive Executive Assistant to support the CEO and help keep priorities, communication, and operations moving efficiently across the business. The Role This is not a passive administrative role. You’ll work closely with the CEO to manage priorities, coordinate communication, keep projects moving, and ensure important details do not get missed in a fast paced environment. The ideal candidate is highly organized, adaptable, professional, and able to anticipate needs before they become problems. ResponsibilitiesExecutive \& Administrative Support * Manage a high volume inbox and prioritize communication * Coordinate calendars, meetings, and scheduling * Organize travel arrangements and itineraries * Draft professional emails, meeting notes, and correspondence * Conduct daily priority reviews with the CEO * Track action items and follow ups across departments Operations \& Coordination * Coordinate site visits, road trips, meetings, and conference logistics * Prepare reports, presentations, agendas, and internal documents * Assist with onboarding and administrative coordination * Help maintain organized workflows and internal systems * Support special projects and operational initiatives as needed Communication \& Organization * Act as a professional point of contact internally and externally * Ensure timelines, meetings, and deliverables stay on track * Maintain confidentiality with sensitive company information * Keep communication clear, organized, and proactive Process Improvement * Identify inefficiencies and help improve workflows * Build structure around recurring tasks and priorities * Help create systems that improve accountability and execution Requirements * Excellent written and verbal English communication * Strong organizational and time management skills * Ability to manage multiple priorities simultaneously * Comfortable working independently in a remote environment * High attention to detail and follow through * Strong judgment and professionalism * Able to align with Atlantic Time Zone working hours Nice to Have * Experience supporting executives or leadership teams * Familiarity with Microsoft Teams, Outlook, Excel, and CRM systems * Experience coordinating travel, meetings, or operations * Background in construction, operations, service, or technical industries What We’re Looking For We’re looking for someone who is: * Reliable * Resourceful * Organized * Calm under pressure * Proactive rather than reactive * Comfortable in a fast moving environment This role is ideal for someone who enjoys bringing structure to busy environments and helping leadership stay focused on high value priorities.
