Key Interactions: Site users, service providers, security/reception, internal finance/purchasing teams, and technical/HSSE departments as applicable. **Key Responsibilities** 1\) Administrative management and operational support for Merck Argentina’s 3 sites: Tronador, Martinez, and Spegazzini. * Provide general administrative support for sites, prioritizing operational continuity. * Prepare, issue, track, and control purchase orders (POs) to vendors, including quotation control, scope definition, and acceptance verification. * Enter, control, and track invoices (with PO–service–invoice traceability) and coordinate service payments per internal process. * Control, submit, and track vendor legal/compliance documentation required for site onboarding and access (documentation required for office/facility access). * Maintain operational records (vendors, expiry dates, evidence, reports, and service documentation). 2\) Support the Facility Manager in coordinating soft services * Coordinate and monitor cleaning (routines, reinforcements, inspections, and deviation management). * Manage consumables (hygiene, restrooms, kitchenette/cafeteria, or other site-defined items): stock control, replenishment, and ordering. * Coordinate coffee machines (consumables, maintenance, service tickets, renewals, or provider changes). * Coordinate pest control: scheduling, visits, reports, and action plans. * Verify service quality, schedule adherence, and manage vendor complaints. 3\) Support the Facility Manager in coordinating hard services and building maintenance * Coordinate preventive and corrective building maintenance with vendors and/or technical teams. * Track tasks and interventions related to critical building systems, including fire protection systems (inspections, maintenance, reports, and observation closure). * Coordinate minor construction works: site surveys, quotation requests, planning, execution oversight, handover, and closure. * Ensure technical documentation control (reports, certificates, execution evidence, service minutes, etc.). 4\) Key responsibility (hard services): cold rooms and temperature-controlled spaces * Coordinate and manage cold room calibrations and qualifications with specialized vendors. * Schedule interventions, coordinate access, verify deliverables (certificates/reports), and maintain documentation traceability. * Manage non-conformities/deviations: track corrective actions and control closure. 5\) Vendor management, control, and improvement * Daily coordination with vendors: scope, schedules, access, deliverables, and compliance. * Support basic operational budget control for the site via PO/invoice tracking and reporting. * Identify process improvement opportunities (document organization, response times, standardization of controls). **Requirements and Qualifications** Education (Mandatory) * Technical or engineering degree (preferably in electromechanical, electrical, mechanical, industrial, refrigeration, or related fields). Professional License (Mandatory for Argentina, per site service requirements) * Valid professional registration with the corresponding council, e.g., COPIME or CACAAV, to support technical coordination/management related to cold room calibrations/qualifications and associated technical activities.
