In simple terms: we manage and optimize large volumes of inbound leads and phone calls for our clients, acting as a hybrid between an affiliate marketing agency and a lead generation brokerage. The company has been founder\-led for 10 years and is now entering a growth phase. We are looking for a sharp, detail\-oriented Operations \& Client Success Coordinator to work directly with the founder and help professionalize and scale day\-to\-day operations. This is not a basic virtual assistant role. We are looking for someone who can think critically, follow processes precisely, and take ownership of projects. Core Responsibilities **Client \& CRM Management** * Attend Zoom meetings (live or via recording), extract key decisions and action items, and update our CRM and project management systems accurately. * Draft professional follow\-up summaries and next steps for U.S.\-based clients. **Campaign Oversight \& Quality Control** * Monitor daily campaign performance (calls and leads). * Track volume, quality, and KPIs. * Identify irregularities or trends and flag issues proactively. * Use our internal dispositioning and quality control tools to produce concise performance reports. **Project Coordination** * Oversee new campaign launches using structured templates and SOPs. * Coordinate with external technical consultants and platform support teams. * Ensure projects move forward on schedule and are completed correctly. * Follow up persistently when needed — you will often be the one ensuring “experts” deliver. **Billing \& Financial Tracking** * Prepare client invoices based on performance data. * Verify supplier invoices against internal records. * Track payment terms and outstanding balances. What We Are Looking For * Near\-native written and spoken English (this role involves client\-facing communication). * Strong attention to detail. * High level of organization and follow\-through. * Confidence communicating with U.S. clients and external vendors. * Ability to work independently without constant supervision. No deep technical knowledge is required, but you must be comfortable working within structured systems and following detailed instructions.
